Provide senior-level administrative support to the Center’s three directors. Take minutes at weekly managers meetings, compose correspondence, track reports submitted to the Dept of Labor & corporate office, respond to requests for information, and perform a variety of admin duties. Requires a strategic thinker; advanced MS Office skills; excellent grammar, punctuation, proofreading, customer service, and communications skills; confidentiality; and a tactful and friendly personality.
Brief Job Description:
Perform a variety of secretarial/clerical duties, including transcription and composing correspondence, reports and other documents.
Receive telephone calls and visitors; tactfully refer them to proper individual if center director is not available.
Maintain calendar of events, schedules, appointments and take minutes of meetings.
Coordinate meeting arrangements such as time, place, attendees and matter to be discussed.
Maintain correspondence and reports control log. Review MTC and DOL notices to determine and track required responses. Coordinate preparation and proofreading of reply.
Act as liaison between center director and center staff, community, corporate office and customers, including parents and screening agencies; use extreme diplomacy and tact and ensure accurate and timely responses to all inquiries.
Process and track a variety of materials such as student leave papers and purchase requisitions to expedite approvals.
Coordinate and maintain master center library including SOP’s.
Coordinate preparation of materials for MTC and DOL assessments and data integrity assessments. Review information received from each department.
Compile and publish Daily Announcements.
Maintain necessary files and storage area in a neat and orderly manner.
Education & Experience Requirements:High school diploma or equivalent and four years related experience. Associate degree in business administration, secretarial science or associated field preferred. Type 70 words a minute. Experience with word processing and computer data entry required. Experience with youth, excellent written and verbal communication skills and computer proficiency required. Valid driver’s license with an acceptable driving record.
